Applicant Privacy Policy

1. Scope.

This Applicant Privacy Policy (“Applicant Privacy Policy”) describes how Rent Group Inc. (“Rent Group,” “we,” “our,” or “us”) handles personal information collected in connection with applications via employment, including via the Careers website (the “Site”). By using the Site, you expressly consent to our collection, storage, use and disclosure of your information as described in this Applicant Privacy Policy. Please note this Applicant Privacy Policy only applies if you are a job applicant. If you are not accessing the Site in an employment context, please visit our general website Privacy Policy to learn more about how we collect and process your personal information.

2. Collection.

When you apply for employment with Rent Group, including by using our Site, we may collect and store your information. In most cases, the information we hold about you is collected through the Site, but we may also collect information from third parties with whom we have entered into an arrangement for such collection, or from their respective tools, applications or services, or from other means and sources, as described herein. We may also collect information from paper forms or communications between us and you in connection with a job application.  Accordingly, our Applicant Privacy Policy may apply to you even if you do not submit information to us through the Site.  Depending on how you use the Site, and other information you may provide or which we may collect, we may collect and store the following information:
  • personal and contact information such as name, email address, postal address, and telephone number;
  • your CV and/or resume and any information that is disclosed in such documents, cover letters or messages;
  • your work experience (e.g. employment history including companies, locations, job titles, start and end dates, supervisor names);
  • your educational background (e.g., schools/universities, locations, highest level of education, major areas of study, graduation year, degrees, GPA);
  • professional information such as certifications, relevant prior trainings or courses, language capabilities, your area/department/role of interest within Rent, compensation history and expectations, first possible start date, the fact that you might be subject to a non-compete, applicable termination/notice periods, restrictive covenant or any other agreement that might affect your ability to accept a position and work at Rent, references, letters of recommendation, interview notes, the source you heard about the job vacancy, and availabilities to schedule an in person interview; and the results of application-related assessments;
  • although the following may not be part of your application, we may collect: government-issued identifiers; military and/or veteran status; certain demographic information such as gender; your right to work in the United States and/or your selected location, and any limitations on your right to work associated with your employment sponsorship, if applicable; and the result of any background checks or other pre-employment screenings or assessments;
  • information we need to provide you with an offer (e.g., rate of pay, start date, job title);
  • information we collect, including through third-party suppliers, regarding content and other data posted on the Internet (such as data posted in social media or other public locations on the Internet);
  • information collected automatically when you visit the Site, including:
    • information about the type of device through which you access the Site, information about the browser you are using, and other similar information;
    • information based on your interactions with the Site and its advertising, such as search information, device sign-on data, statistics on page views, traffic to, from and within the Sites, ad data, IP address, standard web log information, and information reflecting your activity on our Site; and
    • connection information such as the name of your mobile operator or ISP, browser type, language and time zone, mobile phone number and IP address; and
  • information collected by web beacons and cookies on the devices you use to access the Site (i.e., computers and/or mobile devices, as well as internet browsers and other applications on a device that interacts with the internet). Cookies and web beacons may include all the “information collected automatically” described immediately above.

3. Use.

We generally use your personal information we collect to provide our Careers portal to you, carry out the application and recruitment process, and to retain your information to enable your candidacy for future positions and to contact you about jobs that may be of interest to you.  We may also use information we collect in connection with your use of the Site or your job application to:  
  • operate, administer, manage, and develop our business and services;
  • provide our Site to you and others, including the Careers portal, content, materials, and job-search and application functionalities provided by the Site;
  • respond to inquiries, questions, or other communications we receive from you or others;
  • conduct analytics, evaluate and improve our Site, services, technologies, and business, and develop new technologies or services. This includes preparing aggregated data for general marketing and analytical purposes, and undertaking activities to learn more about you or others;
  • customize your experience on the Site;
  • send you relevant job postings via email or consider you as a candidate for various job openings (whether or not you applied to those specific positions yourself);
  • protect the safety and integrity of our site or services; mitigate risk, prevent fraud, and troubleshoot problems;
  • detect, investigate, and prevent errors, security threats, or other potentially wrongful, harmful, or illegal activity;
  • enforce our Terms of Service or any other agreements, terms, conditions, and policies; and
  • comply with any requirement of laws, rules, regulations, legal process, or governmental requests; to comply with human resources requirements, our policies, internal investigations, or prudent business or security practices; or in connection with our establishment, exercise, or defense of legal claims.

4. Disclosure.

We may share some or all of your personal information with third parties for any purpose described in Section 3 above (“Use”), or for any other purpose that has been notified to you or to which you have consented.  In addition, we may provide or share some or all of the personal information listed above to:
  • Affiliates within the Rent Group family of companies.
  • Third parties that assist us in connection with the recruitment process. For example, we use third party service providers and business partners to collect your information, for services such as carrying out background checks or work-related assessments, and for data hosting, analytics, or marketing.
  • We may share information with any third party to satisfy any requirement of laws, rules, regulations, legal process, or governmental requests. Additionally, we may share information in connection with our establishment, exercise, or defense of legal claims. This may include disclosures to law enforcement offices, government authorities, third-party rights owners, or any other third party in the good faith belief that such disclosure is reasonably necessary to enforce our Terms of Service or this Applicant Privacy Policy; protect the rights, property or personal safety of our users or the general public; to establish, exercise, or defend legal claims; or to comply with law or a court order, subpoena, warrant, or other legal process.
  • Another business entity should we plan to merge with, or sell substantially all our assets to that business entity.

5. Communications and Communication Tools.

We communicate with users of the Site primarily through email. Also, when you apply for a job, we send “Rent Talent Acquisition” email updates about jobs you might be interested in. You can opt-out of “Rent Talent Acquisition” emails at any time by clicking on the “unsubscribe” link that is included at the bottom of any Rent Careers email you receive.

6. Third Parties.

The Site has links to other websites.  If you visit these other websites, they may collect personal information about you. Except as otherwise expressly included herein, this Applicant Privacy Policy addresses only the use and disclosure of information we collect from you on our Site. If you disclose your information to other websites, different rules may apply to their use or disclosure of the information you disclose to them. We do not control the privacy policies of third parties. We encourage you to ask questions before you disclose your personal information to others. We are not responsible for the privacy practices or the content of those linked websites.

7. Security.

We have taken steps to protect your personal information. However, third parties may unlawfully intercept or access transmissions or private communications sent via the Internet. Therefore, neither we or other companies can promise, and you should not expect, that your personal information or private communications you transmit via the Internet will always remain private.

8. Minors

The Site is intended solely for use by persons 18 years of age or older. If you are under the age of 18, you may not use the Site, or contribute any information to us.

9. Retention

We generally keep personal information for the length of time needed to carry out the purposes outlined in this Applicant Privacy Policy, and as permitted under our records retention policies, which are consistent with applicable laws.

10. Additional Notice to California Residents

a. California Personal Information We Collect. We describe the personal information we have collected from California applicants in the twelve (12) months preceding the Effective Date of this Applicant Privacy Policy in the part titled, “Collection” above. This information includes the following:
  • Identifiers such as a real name; alias; postal, email and internet protocol (IP) addresses; unique personal identifiers; online identifiers; and account name(s) or other similar identifiers (e.g., if you join our Talent Network).
  • Personal information described in California Civil Code § 1798.80(e), including: (1) the personal information listed in the preceding bullet point as “identifiers,” (2) telephone number, (3) educational background, and (4) employment-related information and employment history.
  • Although they may not be part of your application, we may collect certain characteristics of protected classifications under California or federal law including gender, race/ethnicity, military and/or veteran status, and immigration status; the results of credit and criminal background checks and other screening procedures; and medical conditions if disclosed to us.
  • Internet or other electronic network activity information, including, but not limited to, information regarding your interaction with the Site, or any of our applications or advertisements, or promotional emails.
  • Professional or employment-related information, including your work experience (e.g. employment history including companies, locations, job titles, start and end dates, supervisor names); your educational background (e.g., schools/universities, locations, highest level of education, major areas of study, graduation year, degrees, GPA); certifications, relevant prior trainings or courses, language capabilities, your area/department/role of interest within Rent, total compensation expectation, first possible start date, the fact that you might be subject to a non-compete, applicable termination/notice periods, restrictive covenant or any other agreement that might affect your ability to accept a position and work at Rent, references, letters of recommendation, interview notes, the source you heard about the job vacancy, and availabilities to schedule an in person interview; and the results of application-related assessments;
  • Education information, defined as information that is not publicly available personally identifiable information as defined in the Family Educational Rights and Privacy Act (20 U.S.C. section 1232g, 34 C.F.R. Part 99).
  • Inferences drawn from any of the foregoing categories of personal information in order to create a profile about a consumer reflecting the consumer’s preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities, or aptitudes.
We obtain the above categories of personal information from a variety of sources. As outlined above in the section titled “Collection”, the sources from which we collect personal information include: (a) individuals with whom we or our service providers of business partners interact; (b) the devices used to access our Site or any content we make available; (c) emails, phone calls, text messages, or other communications between you and us; and (d) third party partners such as background check providers or marketing or analytics providers.  For more information, please see the above section titled “Collection.”
b. Use of Personal Information. We use the personal information we collect regarding California applicants for the purposes described in the section titled, “Use” For clarity, our uses of personal information include all uses that constitute “business purposes” or “commercial purposes” under the California Consumer Privacy Act.
c. Disclosure of Personal Information. Within the last 12 months, we have disclosed personal information in all or substantially all of the categories identified above to other businesses, service providers, or third parties for various business purposes.  For more information about the categories of personal information we have disclosed for business purposes, the categories of entities to whom we have disclosed this information, and the purposes for which we have disclosed the information, please see Section 4 above (“Disclosure”).Rent Group does not “sell” applicants’ personal information for monetary consideration, or “share” applicants’ information for cross-context behavioral advertising. We do not “sell” personal information of individuals we know to be under the age of 16, or “share” the personal information of individuals we know to be under the age of 16 for cross-context-behavioral advertising.
d. Your California Rights. If you are a California resident, you may have certain rights related to your personal information. You may exercise these rights free of charge except as otherwise permitted under applicable law.
  • Right to Know and Access Rights. You have the right to know what personal information we have collected about you. You may request a copy of the specific pieces of personal information we have collected about you.
  • Deletion Rights. You have the right to request that we delete personal information about you which we have collected from you. Please note, we may not be able to move forward with your job application if you choose to delete your personal information.
  • Correction Rights. You may request that we correct inaccurate personal information we may hold about you.
  • Right to Limit the Use of Sensitive Personal Information. We do not use or disclose sensitive personal information for purposes that, under applicable law, require us to offer consumers a “Right to Limit” the use or disclosure of sensitive personal information. Subject to applicable law, we may not discriminate against you because of your exercise of any of the above rights, or any other rights under the California Consumer Privacy Act, including by retaliating against applicants. We may, however, charge different prices or rates, or provide a different level or quality of goods or services, if that difference is reasonably related to the value provided to us by your personal information.
You may request to exercise these rights by using our Applicant Privacy Rights Form. As required or permitted under applicable law, please note that we may take steps to verify your identity before granting you access to information or deleting or correcting information. To verify your request, you will be required to provide information listed on our rights request forms, and to confirm you control email addresses or phone numbers you provide to us in connection with a request. We may limit our response to your exercise of the above rights as permitted under applicable law.

e. Agent Authorization
.  You may designate an authorized agent to request any of the above rights on your behalf. You may make such a designation by providing the agent with written permission, signed by you, to act on your behalf.  Your agent may contact us as set forth in this Applicant Privacy Policy.  Even if you choose to use an agent, as permitted by law, we may require verification of the agent’s authorization to act on your behalf, require you to confirm you have authorized the agent to act on your behalf, or require you to verify your own identity.

11. Disclosures relating to “Do Not Track”

As of the effective date listed above, there is no commonly accepted response for Do Not Track signals initiated by browsers. Therefore, we do not respond to such signals or to other mechanisms that may provide the ability to exercise choice regarding the collection of personal information regarding your online activities over time and across third party Web sites or online services.

12. General.

We may amend this Applicant Privacy Policy at any time by posting the amended terms on the Site. Amended terms take effect upon acceptance for new users and 5 days after they are posted on the Site for all other users. Your continued use of the Site constitutes acceptance of any new terms.
